BBC Children In Need's Royally Big Portrait Submission Rules

Rules:
- Eligibility
1.1 The portrait you submit must have been created by a child that is resident in the UK, Channel Islands or the Isle of Man. They must be aged between 3 and 18 years old.
1.2 The portrait can only be submitted by a child’s parent or guardian who is aged 18 or over.
- Open and closing dates
2.1 You can submit a portrait using our portal when it opens on Tuesday 21st March 2023. It will close on 28th April 2023. We won’t be able to include any portraits we receive outside of these dates/times.
- How to submit your child’s drawing:
3.1 You can submit a portrait using Uploader here. To make sure Uploader works smoothly, you’ll need to use one of these browsers: Chrome on macOS and Windows 10, Firefox on macOS and Windows 10, Safari on macOS, Edge on Windows 10, IE11 on Windows 10, Chrome on Android 7, 8 and 9, Chrome on iOS 9, 10, 11, 12, Safari on iOS 9, 10, 11, 12, Samsung Internet Browser on a Galaxy S8, Silk on Kindle Fire 7″ tablet).
3.2 You need to make sure your child has drawn a portrait of King Charles and must only feature their first name or initials. It’s important there are no other personal details within the drawing.
3.3 Due to the digital processes we will put your child’s drawing through to include it in the master digital artwork, it’s very important that your child’s portrait must be drawn in black pen only. Drawings in colour or in pencil will not be able to be included in the final artwork.
3.4 If the paper is creased it can affect how the drawing looks in the final artwork. It’s best to make sure the paper your child’s drawing is on it kept as flat as possible.
3.5 Please make sure that the drawing does not contain anything that:
- Is illegal or defamatory (damaging to someone else’s reputation)
- Is inappropriate (offensive, off-topic or disruptive)
- Contains spam
- Breaks the BBC’s election or referendum rules
- Puts children at risk
- Infringes anyone’s rights (that includes privacy rights)
- Promotes a business
- Identifies someone (other than your child’s first name or initials)
- Is in contempt of court
- Contains links to content that can’t be seen easily, may be unsafe (viruses, worms, spyware and Trojans) or automatically launches lots of windows.
- Isn’t in English or Welsh
- Doesn’t comply with these terms and conditions.
3.6 If any of these rules are broken we may disqualify or not use your submitted portrait.
3.7 BBC Children in Need will not be responsible for any submissions that we don’t receive by the closing date. And that goes for our partners too (including artist Sam Barnett). This is for any reason too, including if your submission is lost, delayed or corrupted or you have had technical difficulties along the way.

3.9 When you upload your child’s drawing to Uploader, you are giving the BBC broad rights to use your child’s drawing including the BBC allowing us and our partners to use it for our Royally Big Portrait. You can find out more about this in the Uploader Terms of Use.
- What happens once the drawing is submitted
4.1 Once you have submitted your child’s drawing, it will be sent to artists Sam Barnett along with your email address so we can track it. Then, we’ll carry out a few checks to make sure it follows our terms and conditions. We’ll then put the drawing through some digital processes to make sure it can be included into the master digital artwork. Sam will do his best to make sure that your child’s drawing remains as close as possible to the original, but as part of these processes we might have to change or alter it in some way. We can’t guarantee that the final digital image will look exactly like your child’s original and we won’t be able to make any changes to it once it has been added to the final artwork. We also can’t guarantee your child’s drawing will feature in the final artwork if there are any issues with it e.g. if it breaks any of our rules, if it is lost or if the digital processes do not work.
4.2 Once the master artwork is complete, if we have included your child’s drawing with no issues, you will receive an exciting email from Sam’s team with a personal link by 30th April 2023 at the latest. This will allow you to zoom in and see your child’s drawing. This link will only be available until 1st April 2024. You will also be able to buy a physical copy of this artwork, but this will be a hard copy only of the finished portrait and will not feature your child’s drawing.
4.3 Due to the high number of submissions we’re expecting to receive, we won’t be able to contact you if there is a problem with your child’s drawing. If you do not receive an email from Sam’s team within the time frame above, please get in touch with [email protected] and we can look into it for you.
- Uploader and our responsibilities
5.1 We take great care to make our content and Uploader the best they can be. So if something does go wrong, we are responsible only:
- if our content or Uploader damage your device or anything on it. Should this happen, you might be able to ask for compensation under consumer protection law. Compensation isn’t guaranteed, though. Be sure to get legal advice;
- for certain unlikely events if our negligence causes death or injury, for example;
- if you’re an individual “consumer” and it would be unfair for us to not be held responsible.
5.2 Otherwise, we’re not liable for anything that happens if:
- you rely on advice, data, commentary, opinions or any other content;
- there are errors, omissions, interruptions, delays, bugs or viruses;
- we turn off or remove content or Uploader (we’d normally only do this when we moderate, for legal reasons, or if we’re improving Uploader);
- the thing that happens couldn’t reasonably have been foreseen;
- the thing that happens wouldn’t usually result from the mishap;
- you and we hadn’t agreed that this thing would probably happen in the event of a mishap;
- this applies to sites we link to as well as our content and Uploader.
- General
6.1 We may cancel this campaign at any stage if we feel it is necessary in our opinion, or if circumstances arise which are outside of our control.
6.2 We may change these terms at any stage and in any way.
